As an exhibitor at WUI, we want to make sure you have a positive experience. This page will be your first stop for all the logistical information and forms needed to set-up your exhibit. Order forms, including housing and exhibitor registration details are below.

Exhibits Facility
Exhibits are located in the Tuscany Ballroom. All freight will be offloaded via pallet jack. Please contact exhibitorservice@theexpogroup.com if you require a fork lift to unload your vehicle. Be sure to complete the Vehicle Display Form (coming soon), if you will have a vehicle in your booth.

  • ALL exhibit personnel MUST register to attend.
  • Each exhibiting company receives:
    • 3 Registration Badges per 100 SF
    • And 2 additional badges for each additional 100 SF.
  • Your company's unique Promo Code has been emailed to the main exhibitor contact.
  • You can register for additional exhibitor badges ($195 each) once your allotment is utilized.

Booth Package / Each exhibiting company receives:

  • One 6' black draped table
  • Two side chairs
  • One Wastebasket
  • Linear booths with pipe and drape will also receive one 7" x 44" company identification sign
  • Ballroom is carpeted
  • Exhibitor booth liability insurance via Rainprotection.

Not included with booths: A/V, Electrical, Furniture, Shipping

  • Submit electrical and telecommunications floorplans in advance. This allows The Expo Group and the Peppermill to review prior to your arrival onsite.

An EAC will only be granted access to the show floor if show management has received the EAC Work Authorization Form and a valid Certificate of Insurance (COI). There will be no exceptions. EAC Forms and COIs are due mid-February.

  • Expidite the badge pick-up process. Pre-register staff online before arriving.
  • ALL booth personnel must check-in at the Registration desk.

DO NOT begin packing or dismantling your booth prior to 1:30 PM.

Shipping with The Expo Group
Have all carriers check-in by Mar. 25, 2026 at 3:00 PM.

The Expo Group will begin returning cartons, plastics cases, wood crates and other material sent to empty storage shortly after show close. Please note this process may take a while.
After your materials are packed, labeled and ready to go; return a 'completed' Material Handling Agreement to the service desk. ***REQUIRED***

Do not leave your The Expo Group’s Outbound Material Handling Agreement with your equipment at your booth. If you leave the Material Handling Agreement in your booth with your freight, we will not know that your freight is ready to be loaded out.

You can also submit online (coming soon) to The Expo Group without going to the service desk.
You’re already exhibiting at WUI, but how can you increase your chances for attendees to see your message or find you in the exhibit hall? The IAFC Exhibits Team have put together some options from sponsorships to marketing tools to aid your efforts.

Full payment is due within 30 days of booth reservation. Please note that payments more than 30 days past due are subject to a $200 late fee. Login to your myWUI - Exhibitor Login to pay online or download your invoice. Access Key required, contact exhibits@iafc.org for assistance.

  • October 15, 2025 - Full payment due
  • Late fee of $200 added to outstanding balances
  • Cancellations:
    • On or before October 15, 2025 - The IAFC retains 50% of the total amount. If payment has not been received, 50% of the total amount is due.
    • After October 15, 2025 - The IAFC retains 100% of the total amount. If payment has not been received, 100% of the total amount is due.

IAFC has partnered with specific official vendors/contractors. For insurance and safety reasons, the official contractors designated must be used for the following services (no exceptions will be made). To view a list of the vendors and their info please refer to the Exhibitor Service Manual (coming soon).

**Important Notice to Exhibitors**
Beware Unofficial Vendors
Companies approaching Exhibitors or Sponsors not found in the exhibitor manual are not officially affiliated with the Show and IAFC cannot assist with any disputes or issues. In addition, materials brought into the facility for display purposes, etc. by companies not on this list may be charged for material handling fees in addition to the fees charged by an UNOFFICIAL vendor.

Beware of Poachers
Exhibitors are often contacted by various vendors looking to get your business. Some of these companies may misrepresent themselves as being associated with IAFC. You may be solicited by companies selling attendee lists, housing companies, etc. If you have any questions, please contact us prior to ordering. Note, IAFC is the only provider with access to attendee lists.
